01Ask Copilot about the meeting while it runsVerified

Steps
  1. Select Copilot in meeting controls
  2. Pick from View prompts or type a question
  3. If you joined late, select Open Copilot from the notification
  4. On desktop, pop Copilot out into a new window
Example prompt

Make a table of the revision comments raised so far, by material: material, comment, speaker, cited source.

Caution

Follow participant notice and company policy for recording/transcription. Copilot does not work in meetings hosted outside your organization. Verify key points against the transcript. Output can be wrong. Check it against the original email, notes, or transcript before use.

02Set how Copilot can be used in your meetingVerified

Organizers choose During and after the meeting, Only during the meeting, or Off. During and after requires transcription; Off also disables recording and transcription.

Steps
  1. Open a meeting you organize
  2. Go to Online meeting options > Copilot and other AI
  3. Choose During and after the meeting / Only during the meeting / Off
  4. Select Apply
Example prompt

(Setting, no prompt.) Rule of thumb: committees that keep minutes = During and after; no-record discussions = Only during; no AI = Off.

Caution

Available values depend on org policy, sensitivity labels, and templates. Match your company's meeting-record rules and tell participants in advance.

Availability

As a meeting organizer, you can decide how and if participants can use Copilot. Even if you don’t have a license, you're in control of Copilot for meetings you organize.

03Use Copilot without transcription or recordingVerified

With Only during the meeting, Copilot can take notes and list tasks without recording or transcription. Afterward, untranscribed content and the Copilot conversation are not available.

Steps
  1. Calendar > your meeting > Options
  2. Copilot and other AI > Only during the meeting > Apply
  3. In the meeting, select Copilot, then Turn on
  4. Copy anything you need before the meeting ends
Example prompt

List what has been decided so far and who does what by when.

Caution

Even without recording or transcription, Copilot prompts and responses may be retained under Microsoft Purview policies and be discoverable. External participants cannot use this mode. Do not tell attendees that nothing is kept.

Availability
Teams meetings and calls (calls need admin enablement). Users need Copilot licenses; organizer can set it without one. Not available to external or MTO users.

04Ask Copilot after the meeting in chat or RecapVerified

After the meeting, open Copilot from the meeting chat or the Recap tab. A transcript is required to ask about what was said.

Steps
  1. Open the meeting chat and select Open Copilot
  2. Send a prompt
  3. Check the cited sources
  4. If transcribed, open the same history from the Recap tab
Example prompt

List decisions, open items, owners, and due dates from today's review committee, with the transcript passages that support each.

Caution

Without a transcript, Copilot uses only the meeting chat. In recurring meetings, transcribing a later instance removes earlier Copilot history. Check against the transcript before using as minutes.

Availability
Teams. Transcript required for questions about spoken content after the meeting. Intelligent recap: Teams Premium or Microsoft Copilot license.
