Copilot Pages turns Copilot responses into editable, shareable content. Select Edit in Pages under a response to open a page next to the chat.
- Send a prompt in Copilot Chat
- Select the pencil icon (Edit in Pages) under the response
- Keep chat and page side by side and use prompts to add or revise content
- Select the title to rename the page
- Edit the page directly to finalize it

Find saved pages in the Microsoft Copilot Library. Pages created with Edit in Pages from labeled content inherit the source sensitivity label (per Purview documentation). Treat output as a draft, open the cited sources to check against the originals, and have a person make the final decision.

02Pages and Notebooks are stored in SharePoint EmbeddedVerified
Copilot Pages and Copilot Notebooks are not stored in OneDrive but in a single user-owned SharePoint Embedded container per user. A page is saved as a .page file, and storage counts against the organization's SharePoint quota.
- Find your pages in the Microsoft Copilot Library
- Admins see the container with the application name Loop in the SharePoint admin center and PowerShell
- Move content that must be kept as a controlled record to your designated location, such as a document management library
The container limit is 25 TB. When a user leaves, the container follows the OneDrive deletion lifecycle with one manual handoff step (no automatic notification). The container is named Pages or My workspace depending on which app created it first.

Copilot Pages and Copilot Notebooks are stored within your organization in SharePoint Embedded. Each user has a single user-owned container that stores Copilot Pages, Copilot Notebooks, and Loop My workspace content.
03Share a Page with the right link typeVerified
Sharing a page grants access to that page only, not the whole notebook, with edit or read-only access. You can use a company share link or a people-specific link, depending on your organization's sharing settings.
- Select the Share button in the upper corner of the page
- Choose Page or Component to copy a share link
- In Settings, check the link type (for example, specific people) and permission (edit or read-only)
- Send the link in Teams or Outlook
External guests cannot open shared Copilot Pages directly via link. Share draft content with people-specific links rather than company-wide links.

04Collect references in a Copilot NotebookVerified
Copilot Notebooks is a workspace where you gather files, pages, meeting notes, and links as References and work with Copilot on them. Copilot Chat users can add up to 50 references; for Microsoft Copilot users, the first 300 are used for grounding.
- In the Microsoft Copilot app, select Notebooks > All notebooks > New notebook
- Enter a notebook name
- Under Add content to References, add material with Search, Upload, Link, OneDrive, or drag and drop
- Select Create
- Check supported types (.docx, .pptx, .xlsx, .pdf, .loop, .page, .txt, .rtf, and OneNote pages)
Compare the old and new SOP versions in the references and tabulate changes in steps, responsible roles, and record forms. Mark changes that need training.
Microsoft Copilot users can add more than 300 references, but only the first 300 are used. 2026 release notes added Outlook emails and Teams meetings as references. Check SOP changes against the official versions in your document management system.

05Notebooks answer only from the references you addVerified
Copilot in a notebook does not access your entire OneDrive, email, Teams chats, or the web; it uses only the references you added. References stay current as the source files change.
- Add only approved, current documents as references
- Remove old versions and drafts from the references
- Check which reference each answer cites
- If you keep an answer as a record, note the version of each referenced file at that time
Using only the references, draft answers to the questions raised at the product briefing. If the references do not cover a question, write 'not in the references'.
Because references stay current, the same question can get a different answer after a source file is revised. Treat output as a draft, open the cited sources to check against the originals, and have a person make the final decision.

06Sharing a notebook also shares its referenced filesVerified
When you share a notebook, recipients also gain access to the referenced files. Everyone you invite gets edit access, and each person's chats stay private.
- Before sharing, review the references and keep only files the recipients may see
- Select Share in the upper right of the notebook
- Enter names or email addresses and select Invite
- For files you cannot share, recipients must request access individually
Do not share a notebook that references restricted material (such as unblinded data or HR information). Read-only sharing is not supported. Copilot Notebooks do not support external sharing.

07Labels work on Pages only; no Information BarriersVerified
Sensitivity labels are available for Copilot Pages, but Copilot Notebooks have no container sensitivity labels. Information Barriers are not supported because content is stored in SharePoint Embedded. eDiscovery and DLP are supported.
- Apply a sensitivity label to pages that contain confidential information
- Manage labels and permissions on the source files referenced in notebooks
- If your organization uses Information Barriers, admins should consider disabling Pages and Notebooks creation with Cloud Policy
- Admins should confirm that retention policies targeting All SharePoint Sites apply
Selecting the container as a custodian data source for legal hold is rolling out and expected in October 2026; until then, add the container URL manually.

08Deleted notebooks cannot be recoveredVerified
Deleting a Copilot page or notebook is currently permanent. There is no end-user recycle bin for Copilot Notebooks, and admins cannot recover individually deleted notebooks.
- Before deleting, confirm with collaborators what must be kept
- Save content that must be kept to your designated document location
- Let the owner do the cleanup to avoid accidental deletion
The support page says recovery features are in development, starting with a recycle bin for Copilot Pages, but no date is given.
